Position Summary
We’re hiring a Landscape Construction Estimator who will also serve as the Preconstruction Buyout & Procurement Owner for our design-build construction projects. This role lives primarily in Sage Estimating and collaborates closely with senior designers, sales, procurement support staff, and production leadership to produce accurate estimates, support professional proposals, and protect margins through disciplined buyout and procurement planning. This role is responsible for completing full quantity takeoffs (hardscape, planting, lighting, irrigation/drainage, and sitework) directly from plans, specifications, and field verification then converting those takeoffs into accurate, buildable estimates.
This is an on-site position based out of our Far Hills location.
Key Responsibilities
1) Construction Estimating (Primary)
Perform complete quantity takeoffs from landscape/civil plans, specifications, details, and site walks; verify quantities and assumptions before pricing.
Translate takeoffs into labor, material, equipment, and subcontractor budgets using established production rates and historical performance.
Build detailed pricing for labor, materials, equipment, subcontractors, and logistics.
Identify scope gaps, assumptions, exclusions, and project risks – document clearly within the estimate and proposal.
Produce professional bid proposals and supporting documentation in a timely manner.
Coordinate pricing requests and scope confirmation with vendors and subcontractors as needed.
Support the team with alternates, value engineering options, and scope clarifications when appropriate.
Maintain estimate consistency through strong documentation, templates, and standards.
2) Preconstruction Buyout & Procurement Ownership (Design-Build)
Own the preconstruction buyout and procurement planning process for awarded design-build projects through “job ready.”
Solicit, analyze, and level vendor and subcontractor quotes to ensure scope coverage, quality alignment, and cost control.
Build clean buyout packages by division/trade (plants, hardscape/stone, lighting, irrigation/drainage, trucking, specialty subs, etc.).
Identify long-lead materials early; coordinate early purchasing/reservations and confirm lead times to support production schedules.
Recommend substitutions and alternates (good/better/best) with clear cost and schedule impacts.
Maintain preferred vendor/subcontractor lists, pricing libraries, and lead-time tracking to keep estimating grounded in real market conditions.
Partner with the internal support team to issue and track procurement actions (POs, confirmations, delivery windows) while maintaining cost integrity and documentation.
3) Sales/Design Support (Supportive Role)
Partner with senior designers and sales to support client decision-making (as-needed).
Occasionally attend presentations or calls to clarify scope/pricing and support closing – not the lead closer.
4) Change Orders & Job Costing Support (As Needed)
After project handoff to production, provide support only when a change order requires estimating/documentation support or production needs clarification on estimating intent, scope, or assumptions.
Light overlap into Sage 300 CRE may occur for process support related to change orders or job costing workflows (experience is a plus, not required).
5) Maintenance Contract Admin Support (Secondary)
Assist with new and renewing maintenance contract entry as an administrative support function (not the primary focus).
6) Estimating Systems & Database Support
Help maintain and improve estimating databases, templates, assemblies, and pricing libraries in collaboration with senior designers.
Support continuous improvement of estimating standards, production rates, and internal workflows.
Qualifications
7+ years estimating experience in landscape construction / sitework / related construction trades.
Strong plan reading skills (landscape/civil/architectural drawings; specs; details).
Hands-on proficiency with estimating software; Sage Estimating strongly preferred.
Familiarity with Sage 300 CRE is a plus (especially job costing/change order workflow exposure).
Strong understanding of landscape construction means/methods and sequencing (hardscape, planting, grading, drainage/irrigation, lighting, etc.).
Highly organized, detail-oriented, and able to manage multiple bids/buyouts at once.
Strong communication and collaboration skills with designers, sales, procurement support, and production.
Demonstrated ability to complete accurate takeoffs using digital tools (e.g., PlanSwift, Bluebeam, On-Screen Takeoff, etc.) and/or Sage Estimating takeoff workflows.
Work Style / Fit
Strong knowledge of high-end residential landscape construction preferred.
Comfortable collaborating in a fast-moving design-build environment with tight deadlines.
Must be able to walk a site as needed to confirm scope and conditions.
